Loan Operations Manager

Location and Schedule: KlinkLoans Fund – Gilbert, Arizona
Full-Time | Monday–Friday, generally 8:30am–5:30pm
Hybrid: 4 days in-office / 1 remote
Company and Mission:
Klinkloans Fund is a real estate private equity investment fund and private lender that makes real estate investment loans via a pooled fund of outside investor capital. The employer is Klinkhamer PLC, currently 4 full time and 1 part time employees.
Stewardship Mortgage is the primary business name / brand our borrowers associate us with as Mike Zins and Jean Klinkhamer are licensed Mortgage Loan Originators with Stewardship Mortgage LLC – Private Lending Division.

Purpose of This Role
This role exists to serve and support Klinkloans Fund and it’s customers by ensuring loans, systems, and client relationships are handled with intentionality and excellence.
This person runs the team and operation that closes loans and services them, owns the day-to-day execution that keeps deals moving, communication clear, and operations running smoothly—freeing up originator(s) to focus on growth and relationships. This person also will be an office manager and administrator for our small team.

Primary Responsibilities
Loan Processing & Closing
- Review and organize incoming loan opportunities, prioritize for originator next steps
- Identify non-viable deals and prepare strong opportunities for follow-up
- Pull comps, property data, and vendor info
- Compile and summarize property and market data
- Help obtain all items required for underwriting
- Order/review credit, criminal, and background checks
- Conduct online background research
- Review borrower documents for completeness and accuracy
- Communicate with borrowers, title, and vendors to move loans to closing as needed
- Close loans, coordinate title, funding, borrower and handle post closing steps
*Important: we have been lending just in AZ since 2012 but are preparing to go National and lend in multiple states which be increasing the complexity of our lending operation significantly.
Loan Servicing
- Maintain accurate loan data (MLS, values, notes, slack and mortgage automator)
- Track LTV, maturity dates, and extensions
- Communicate with borrowers on status of property to help make extension decisions
- Support insurance, tax tracking, and servicing updates
- Help ensure payments are received for all loans on a timely basis
Operations, Systems & CRM
- Maintain accuracy across CRM, loan software, and internal systems
- Organize and manage deal flow, tasks, and communication
- Improve processes and help implement better systems / work flows
- Maintain contact and deal records across platforms
- Add and tag new contacts (iCloud, Go High Level, LinkedIn)
- Keep Dropbox organized (documents, receipts, property files)
Marketing, Leads & Research
- Monitor LinkedIn, Facebook groups, and BiggerPockets for opportunities
- Assist with light posting, outreach, and lead organization
- Help coordinate Weekly Market Update emails and content
- Compile and summarize data for team use
- Redemptive real estate investing group and other event planning for team and customers
Administrative Support to Mike Zins
- Manage email inbox: flag priorities, draft and respond as needed for Director of Operations
- Manage calendar and scheduling
- Send prequalification letters and templates
- Route communication to appropriate team members
Office Manager, Client, Team & Investor Support
- Back office administration lead
- Execute client (investors and borrowers) follow-up, communication touchpoints, and giftology.
- Support team coordination and quarterly meeting prep
- Handle office mail and in-office administrative tasks
What Success Looks Like
- The originators (current and future) are freed up to focus on growth
- Loans move efficiently from intake through servicing
- Borrowers experience proactive, clear communication
- Client relations are enhanced and strengthened (investors and borrowers)
- Systems are organized, accurate, and improving, Nothing critical falls through the cracks
- The team is supported and free to grow the fund.
Experience & Background
Preferred: 2+ years in lending or title, or real estate
High capacity administrative or operations experience.
We are open to less experience if the right person.
Compensation
Based on experience: in the range of $47k- $80k annual
Includes profit sharing (after 90 days)
Plus extensive benefits package.

Medical benefit starts immediately, all other benefits will be eligible after 90 days of employment date (or more, see specific benefit for details).
Flexible Paid time off
401k Retirement Matching Program. Eligible after 6 months of employment, matching from Company of up to 4% if employee contributes 5% of their paycheck.

Commitment: Due to the training time, commitment, and critical function of this job, we are asking for a signed 1 year commitment to the job.
Technology we use: Apple (Macbook) laptops, iPhone (preferred), cloud based loan software (Mortgage Automator), Slack, Dropbox, Google docs, Quickbooks online, iMessage, ARMLS, Excel spreadsheets, Word, and Adobe Acrobat (PDF documents), docusign for electronic signature, County e-recording website. Learning and incorporating AI technologies
Equipment Provided: Laptop, mileage reimbursement at IRS rate (does not include to and from Stewardship Office), desk / working space at Stewardship Office. Home office equipment after 90 days.
Hiring Process:
